How to Setup, Use, and Install QuickBooks Desktop Pro

Despite being one of the most widely used accounting software suites available today, QuickBooks Desktop Pro is not always the easiest to use. This guide will show you how to get started with QuickBooks Desktop Pro, from setting it up to sending an invoice.

The desktop versions of QuickBooks that QB Techs supports are QuickBooks Pro, QuickBooks Premier, and QuickBooks Enterprise.

Installing QuickBooks on a PC You must first download and install QuickBooks Desktop Pro. Check the hardware requirements to make sure your computer can keep up. You will require a software license now. There are two ways to purchase the software:

From the website of QuickBooks or from a nearby office supply store (prices may vary).

To create an account, you will need your product and license numbers if you purchased your license from the website. To begin the download, refer to your order confirmation email or click here.

The product and license number are located on the back of the box if you purchased the software from an office supply store. After that, carefully insert the disc into your computer. Regardless of how you obtained the software license, the setup and installation procedures from this point on are the same.

Accepting the License Agreement and Entering Your License Information

After downloading and installing the software, a screen will appear asking you to accept the license agreement for QuickBooks Desktop Pro. To proceed, simply press the "next" button. You will now enter the above-mentioned license and product numbers.

Choosing a Setup Method

Choosing a setup method is the final step. There are two options: Express, Custom, and Network Options Despite our recommendation for the Express option, you can always click the "?" icon in the lower left corner of the screen to choose your method. The software will complete the installation process once you select a setup option.

Creating an Account

Once the QuickBooks Pro software has been installed, you can create an account. You have two options here: beginning from scratch or converting data from an existing program. We'll show you how to set up a new account in this guide, so click "Start Setup" to get started. However, in order to convert your files, you will need to use the QuickBooks guide and select "Other Options" from the menu.

Further Account Setup

The next step is to enter your company's name and select its industry. The "Help Me Choose" drop-down menu is helpful if you're unsure. Enter your company's address and your employee identification number, including the correct country, city, and postal code. Finally, provide the phone number of your business.

Simply click the button in the bottom right corner of the screen to create a company within QuickBooks Desktop Pro after providing all of the aforementioned information. The creation of your company file was successful if you see a welcome screen.

Understanding QuickBooks Pro and How It Works When you first start using QuickBooks Desktop Pro, you might feel overwhelmed. But don't worry; we'll show you how it all works in this section.

The home screen will be the first thing you see. It may appear to be a random collection of icons at first, but it is actually more organized than that. Each of these icons is grouped into five sections and represents one of QuickBooks Pro's most important features:

  • Customers
  • Employees
  • Suppliers
  • Banking institution

On the left side of your screen, in addition to the previously mentioned home screen, you'll find a menu; Home, Bill Tracker, Bank Feeds, Add Payroll, Services, and Feedback are just a few of its sections. The name of these shortcuts refers to their full customizability. You will be taken to the appropriate software feature by clicking on any of them.

Although you can access some of QuickBooks Pro's most important features from the home screen and the shortcut menu, the Quick Access toolbar is the most important area to consider. It can be found at the top of your screen and lets you use most of the program's features. It functions similarly to the toolbar found in Microsoft Word or Google Docs; You can access a comprehensive drop-down menu from each tab. Even though it seems like a lot to remember, the search bar in the top left corner of your screen will guide you to the information you need.

Preferences Editing

The "Settings" section of QuickBooks Pro is called Preferences. Spend some time getting familiar with the options and settings here. We won't go into too much detail here because your choices will obviously be determined by your requirements and the industry you work in. However, we will provide you with a brief overview of some of the options available to you:

  • Accepting which currencies
  • activating or disabling inventory features
  • activating or disabling the time tracker
  • adding integrations
  • accepting online payments
  • editing bill defaults
  • setting invoice reminders
  • adding sales tax
  • selecting a shipping method
  • activating or disabling automatic 1099 filing are just a few of the options you can change.

Inputting Company Data Prior to using QuickBooks Desktop Pro, you will need to add some crucial company data, such as the following:

  • Contacts
  • Vendors
  • Products or Services
  • Employees

You can either manually enter the data or import files into the software.

One of the most important steps you can take to organize your financial data is to set up a chart of accounts. There will be five categories in your chart: expenses, income, liabilities, equity, and assets You can either start from scratch or export a chart in QuickBooks Pro. Navigate to Lists, then Accounts, then Chart of Accounts, and finally Import from Excel for existing charts. It is simple to create a chart. You selected a sector earlier in the process. QuickBooks Pro will set defaults for your business based on that industry. But you'll probably have to remove settings that aren't needed and make other changes that are right for your business.

Connecting to Your Financial Accounts

Although setup is almost complete, there is still one more step to complete. You will need to link your financial account and your QuickBooks account. Of course, you can manually enter your information, but the live bank feed makes things much simpler. Finding your bank is the first step. After that, access your online account. Make sure to carefully follow the on-screen instructions because each bank handles the linking process differently.

That's all there is to it! Your QuickBooks account is set up. You can use QuickBooks Desktop Pro to run a more successful business now that you know how to use it and have added information about your business.
